Summary:

The U.S. Embassy in Kinshasa is seeking eligible and qualified applicants for the position of Property Administrative Clerkin the General ServicesSection.

The work schedule for this position is:

Full-Time (40 number of hours per week)

Duties

Under the direction of the Supply Supervisor, the Supply Administrative Clerk furnishes a wide range of administrative duties. These activities may include, but not limited to, financial, procurement and supplies, computer network, shipping and travel, personnel, inventory, and other duties as assigned.

Major Duties and responsibilities:

SUPPORT DAILY WORK SCHEDULE AND PLANNING ACTIVITIES


- Receive and respond to telephone and e-mail inquiries as well as incoming property request through myServices.
- Coordinate Property administrative functions related to make-ready, financial, procurement and human resources. For example,
assists the Supply Supervisor addressing Property's administrative staff issues, space, logistics, and day-to-day operations.
- Request supplies for the whole warehouse and manage their inventory.
- Coordinate all ICASS subscribers' office copiers maintenance and repairs on a regular basis.
- Manage the auction website by uploading photos and inputting descriptions of lots.


PERFORMS ADMINISTRATIVE DUTIES


- Distribute and control correspondence (incoming and outgoing letters, technical submittals, bulletins, samples, shop drawings,
incoming property related requests, etc.) in accordance with contract specifications and ICASS standards.
- Draft memos and other correspondence to both internal and external sources.
- Maintain all files, records, and reports in easily accessible locations such as electronically on the shared drive, or hard copies in
approved filing cabinets.
- Perform financial and accounting procedures for purchasing, payroll, contract payments, petty cash and Property staff time and
attendance.
- Generate various administrative reports such as workload count, purchase requisitions tracking, etc.


OTHER DUTIES


- Provide necessary administrative support to organizing the online auctions as well as annual inventory.
- Work with the Supply Supervisor in maintaining the SOP and policies updated and accessible to all the staff
- Initiates requisitions for expendables as well as non-expendables as assigned by the Supply Supervisor.

Qualifications and Evaluations

Requirements:

EXPERIENCE:

At least two (2) years of clerical, administrative, customer service, logistics and supply chain experience is required.

JOB KNOWLEDGE:

Basic knowledge of administration procedures, logistics and supply chain functions, and project management. Basic knowledge of the local vendors and the local culture.

Education Requirements:

Completion of High school is required.

Locally Employed Staff, including Members of Household (MOHs), and Third-Country Nationals (TCNs), working at the U.S. Mission in Kinshasa may receive a compensation package that may include health, separation, and other benefits.

For EFMs, benefits should be discussed with the Human Resources Office.

The pay plan is assigned at the time of the conditional offer letter by the HR Office.
